Rules and Regulation for the Rental of
The Graystone Mansion Property
1.
Caterer must provide evidence of registration with, and approval by the Chester County Health Department, a valid, current, Food Handlers License.
2.
Caterer must provide proof of adequate insurances - an Insurance Certificate naming The Graystone Society as an additional insured. Policies may include blanket insurances, covering sub- contractors, or vendors, such as tent installers, of other providers.
3.
Inside events subject to occupancy review by Coatesville Fire Department. City Codes Office may require Special Event permit submission.
4.
The Graystone Society will maintain a calendar of events. Caterer must check proposed dates with the Society for availability before making client commitments.
5.
The Graystone Society reserves the right to make its property available to several caterers, and does not wish to commit to exclusive use by one caterer.
6.
The Graystone Society reserves the right to approve the type of event proposed for its property, whether inside or on the grounds. All events must be fully respectful of the historic nature of the property, and not compromise its integrity.
7.
A representative of the Graystone Society will be present to handle security for the property - opening and closing, activation the alarm system, etc.
8.
Caterer will be responsible for all clean-up and trash removal at the close of event.
9.
The serving of alcoholic beverages is permitted, under control and responsibilities of the caterer- self-service set-ups, or waiter service, with client providing such beverages. Sale of alcoholic beverages is not permitted. Insurance certificates with appropriate disclaimers from the client may be required.
10.
The Graystone Society's Board has established the following rental rates for use of the Graystone Mansion property:
Luncheon Meeting $250.00 for a two hour event
Dinner Meeting $500.00 for a three hour event
Additional hours $125.00 per hour for lunch or dinner Outside Event - Wedding, e.g., $1,000.00 for use of grounds
Rates are subject to review by the Society's Board, as experience may indicate. Rates for special events, not covered by the above general categories, will be determined on an individual basis, upon review of client's requirements.
11.
All fees and payments for food, services, and rentals will be paid by the client directly to the caterer. The caterer will in turn remit the rental fees to the Society. Such fees should be paid in advance of the event. The Society will not be responsible for the collection of fees from clients.
